    How to use this checklist

    Read each question. Tick it if the honest answer is "yes — confidently, with proof." Leave it blank if you'd have to ask someone, or if the answer is "probably." Any unticked box is a candidate leak. Most small businesses are running with three to five.

    This isn't a sales tool. The point is to give you a checklist you can keep next to you for half an hour and walk out of with a clear list of where your enquiry system is actually weakest.

    1. Missed phone calls

    • Do you know how many calls were missed last week?
    • When a call is missed, does the caller get an automatic SMS within 60 seconds?
    • Is the missed-call record logged somewhere a human reviews each day?
    • Are after-hours and on-the-job calls covered, or only business hours?

    2. Website contact forms

    • Has someone tested every form on the site this month — including the booking, quote, and contact forms?
    • When a form is submitted, does the right person get notified (not just an inbox nobody reads)?
    • Is spam being filtered before it reaches your team, or are real leads getting lost in the noise?
    • If form-handling broke today, would you know by tomorrow morning?

    3. Follow-up time

    • What's your honest median response time to a new enquiry — hours, or days?
    • Is the first reply automatic (instant acknowledgement) or always manual?
    • When the first responder is busy, does someone else get the enquiry?
    • Do leads get a second touch automatically if they don't reply to the first one?

    4. Lead routing

    • Do enquiries go to the right person based on what they asked about (service, suburb, language)?
    • If a salesperson is on leave, do their enquiries get rerouted, or do they sit?
    • Are enquiries from the website distinguishable from email replies and walk-ins?
    • Is anything still routed to an inbox a previous staff member used to monitor?

    5. CRM / lead tracking

    • Is every enquiry written down somewhere central (CRM, Google Sheet, spreadsheet)?
    • Can you tell at a glance which enquiries from the last month became customers?
    • Do you know which channel — Google, referral, ad, form — your best customers come from?
    • When someone leaves the business, do their open leads stay visible?

    6. Hosting, forms and email reliability

    • When was the last verified backup, and could it actually be restored?
    • Are your business emails (SPF/DKIM/DMARC) configured so replies actually land in customers' inboxes?
    • Is the website monitored for uptime, with someone alerted when it goes down?
    • If the site got hacked or the form broke tonight, who would know first — you or a customer?
